ClarisWorks: Renumbering a Database

This information was provided by Claris Corporation on 16 March 1998, and incorporated into Apple Computer's Tech Info Library.
No version of ClarisWorks includes a specific command to renumber existing records in a database, however, you can renumber existing records by using one of the following techniques. Be sure to back up your file before trying these.

For Clarisworks 4.0:
1. The database to be renumbered should already contain a field of type Number or Serial Number. Make sure that Show All Records is selected under the Organize menu. Sort the database in the order you want the records renumbered.

2. Define a new field of type Serial Number. ClarisWorks will automatically serialize your records in the the order in which they have been sorted. These new serial numbers will appear in this newly defined field.

3. Delete the old serial number field from your database, and place the new serial number field on the layouts where you would like it to appear.


For ClarisWorks 1.0 - 3.0:
1. The database to be renumbered should already contain a field of type Number or Serial Number. Make sure that Show All Records is selected under the Organize menu. Sort the database in the order you want the records renumbered.

2. Save the database in ASCII Text format. (Use the Save As command from the File menu.)

3. Open the text file as a new spreadsheet file. (Select Open in the File menu. Set the Document Type to Spreadsheet. Locate the text file and open it.)

4. Locate the column of cells with the serial numbers you want to replace. Click on the top cell in the column. Enter the starting serial number, then press Return. Type an "=" sign; click on the cell above; type "+1"; press the Enter key. Click into the cell with the above formula, and select the rest of the column below the cell as a range. Select Fill Down from the Calculate menu.

5. Use the Edit menu to Select All, then Copy. Use the View menu (Window menu on PCs) to select the database file.

6. In the database, choose Select All, then Clear from the Edit menu. Go into Layout mode and create a New Layout, of Standard type. Return to Browse mode and select Paste from the Edit menu.
