ClarisWorks: Sorting the Rows of a Word Processing Document

A step-by-step guide of how to use a spreadsheet to sort rows or a word processing document.

This information was provided by Claris Corporation on 16 March 1998, and incorporated into Apple Computer's Tech Info Library.

While there is no Sort command built into the word processing environment of ClarisWorks, it is easy to use a temporary spreadsheet document to sort the lines and return them to the word processing document.

NOTES: Before using this or any technique where you are replacing your work, save a copy of your original document.

Limitations of this technique: This procedure actually sorts paragraphs. Each row, or item to be sorted must be followed by a return.

You can have no more than 255 characters in any paragraph. Characters after the 255th will be truncated (cut off!) when you paste to the spreadsheet.

You will lose the font and any formatting of the text (bold, italic, etc,) and will have to reset it for the text that you sort.

To sort the lines of a word processing document:

1) Highlight the rows you wish to sort.

2) Go under the Edit menu and select Copy (command-C).

3) Go under the File menu to New. Make a new Spreadsheet document.

4) Go under the Edit menu and select Paste (command-V).
The text will paste beginning at the first cell, and it will remain selected. It is important that you do not click anywhere on the spreadsheet document, as this will deselect the text.


5) Go under the Calculation menu to sort (command-J).
Do not change any of the defaults unless you wish to change the way it sorts. If you wish it sort in descending order (c-b-a instead of a-b-c), click the descending icon for the first sort key.

6) Hit OK.
The text will still be selected. Check to make sure that the text is now sorted.

7) Make sure the text is selected. Go under the Edit menu to Copy.

8) Close the spreadsheet document. You do not need to save it.

9) Returning to the word processing document, the original text should still be selected. Go under the Edit menu to Paste.
The original text will be replaced by the sorted text.

10) Make any font or format changes you wish.
