Thank you for choosing ClarisWorks 4.0. We're excited about this latest release of ClarisWorks and know that it will help you to be more productive and creative. This Read Me file documents some additional tips that may prove helpful when using ClarisWorks 4.0, including changes for users of previous versions of the program. In particular, this document provides information about:

I. NEW FEATURES IN CLARISWORKS 4.0
ClarisWorks 4.0 has over 100 new features. Almost every aspect of ClarisWorks is more powerful and easier to use, especially word processing and database. In addition, ClarisWorks 4.0 adds a host of new capabilities to assist you in your work and to automate many common, but previously complex, tasks. Some of the highlights are listed below. II. USABILITY AND DESIGN CHANGES IN VERSION 4.0
Editing Charts and Formatting Chart Elements
In previous versions of ClarisWorks, chart elements such as axes labels and legend text took their font, size and size attributes from the formatting of the cells being charted in the ClarisWorks spreadsheet. If the formatting changed, so did the chart.
In version 4.0, you can format chart elements directly. For example, to format legend text, click the legend to select it, and then use the commands in the Format menu to apply font, size, and style attributes.
Working with Stationery and Assistants: Location on Disk
In previous versions of ClarisWorks, the ClarisWorks Assistants and ClarisWorks Stationery folders were located in the Claris folder in the System Folder. When you created new documents, ClarisWorks looked in those folders for the Assistants and Stationery choices displayed in the New Document dialog box.
With ClarisWorks 4.0, the ClarisWorks Stationery, ClarisWorks Assistants, ClarisWorks Libraries, ClarisWorks Scripts, and ClarisWorks Styles folders are located in the ClarisWorks 4.0 folder, not in the Claris folder.
When you create stationery documents in version 4.0, put them in the ClarisWorks Stationery folder in the ClarisWorks 4.0 folder. Then you'll see the stationery documents as choices when you create new documents. Similarly, you may want to put libraries you create in the ClarisWorks Libraries folder so that they will be accessible when you use the Library command in the File menu.
Note: If you are using System 7.5, we recommend that you reset the location where your documents are saved.
1. From the Apple menu, choose General Controls and then Control Panels.
2. Under Documents, click "Folder which contains the application."
Working with Text Styles Created in ClarisWorks 2.0, 2.1, and 3.0
In ClarisWorks 2.0, 2.1, and 3.0, you could create reusable text styles with your favorite settings for font, size, style and text color. These text styles were added to the Style menu and assigned a Command key equivalent.
ClarisWorks 4.0 supports many different reusable styles for text, paragraphs, outlines, graphics, and tables. When you open ClarisWorks 2.0, 2.1 and 3.0 documents in ClarisWorks 4.0, all existing text styles are added to the new Stylesheet palette.
To use these styles in your converted documents:
1. Choose Show Styles from the View menu.
2. Select the text you want to format using an existing style.
3. In the Stylesheet palette, click the name of the style that you want to apply to the selected text.
Working with Mail Merge
Because of file format changes in ClarisWorks 4.0, you need to update the field variables in merge documents created in previous versions of ClarisWorks.
Note: Field variables (for example, <<address>>) are database field names surrounded by the delimiter symbols << and >>. A merge document is a ClarisWorks document, such as a form letter, that contains field variables.
To update your merge document:
1. Open the merge document and then choose Mail Merge from the File menu.
2. In the New Document dialog box, navigate to and select the ClarisWorks database document that contains the fields you want to merge, and then click Open.
3. In the merge document, select the first field variable. Be sure to include its surrounding delimiters.
4. In the Mail Merge palette, select a field from the Field Names list and click Insert Field.
5. Repeat Steps 3 and 4 for each field in the merge document.
6. Save the merge document by choosing Save from the File menu.
III. TECHNICAL NOTES AND TIPS
Using Documents Created in ClarisWorks 2.0, 2.1, and 3.0
ClarisWorks 4.0 has a different file format than ClarisWorks 2.0, 2.1, and 3.0 (which used the same file format).
When you open version 1.0, 2.0, 2.1 and 3.0 files in ClarisWorks 4.0, you will see the message "This document was created by a previous version of ClarisWorks. A copy will be opened and '[v4.0]' will be added to the filename."
To replace your ClarisWorks 1.0, 2.0, 2.1, or 3.0 files with ClarisWorks 4.0 versions, choose Save or Save As from the File menu, remove [v4.0] from the file name, and click Yes when ClarisWorks asks if you want to replace the existing file. If you are converting a number of files to the 4.0 file format, you can turn off the warning and the [v4.0] filename suffix by choosing Preferences from the Edit menu and deselecting "Old Version Alert" and "[v4.0] Suffix."
Note: Because of changes in ClarisWorks 4.0 to support WorldScript, you may need to reformat some documents that you have converted from previous versions of ClarisWorks.
Important: At this time, ClarisWorks 4.0v1 reads files from earlier versions of the product but it does not save (write) them in the earlier version. Once you save a file in 4.0 format, older versions of ClarisWorks can't open it. If you want to preserve the original document, rename converted documents when you save changes.
Using ClarisWorks 3.0 and 4.0 on the Same Macintosh
Some users may want to have both versions 3.0 and 4.0 on their Macintosh*. (You might choose to do this if others in your organization have older versions of ClarisWorks.) Keep in mind that:
- ClarisWorks versions 4.0, 2.0, 2.1 and 3.0 all use the same "creator," so the desktop documents icons for documents created in older versions of ClarisWorks will look the same as the desktop document icons of documents created in version 4.0.
- For the same reason, the ClarisWorks 3.0 application will show the version 4.0 application icon on the desktop.
- ClarisWorks 3.0 uses Assistants and Stationery stored in the Claris folder in the System folder, while ClarisWorks version 4.0 uses the Assistants and Stationery stored in the ClarisWorks 4.0 folder. See "Working with Stationery and Assistants: Location on Disk" in Section II for details.
Sharing Files with ClarisWorks 4.0 for Windows
ClarisWorks 4.0 for Macintosh has the same file format, user interface, and features as the upcoming ClarisWorks 4.0 for Windows. ClarisWorks 4.0 for Macintosh also opens files created in ClarisWorks for Windows versions 1.0 and 3.0 and converts the files to version 4.0 format. When ClarisWorks 4.0 for Windows is available, you will be able to create a ClarisWorks document on Windows and edit it on a Macintosh computer or vice versa. Consequently, if you work with both Macintosh and Windows versions of ClarisWorks, or if you collaborate with colleagues who use ClarisWorks 4.0 for Windows, you can work without translating files or learning a different program.
Due to differences between Macintosh and Windows platforms, you must use a file transfer program such as PC Exchange, AccessPC, or a similar utility to transfer files via floppy disk. These utilities require that your Macintosh have a high density drive (FDHD SuperDrive). Follow the directions in the documentation of the file transfer utility program. After copying the files to or from a PC-formatted disk, rename the files with DOS-compatible filenames (8 characters or less) and include the .CWK extension.
After renaming your files, you can copy them to your computer's hard drive and open them as you would any ClarisWorks document.
Fonts, margins, page breaks, and graphics may look different after they are transferred from the Macintosh. You can minimize unintended font changes by using TrueType fonts on both platforms. Helvetica on the Macintosh converts well to Arial on Windows, and Times converts well to Times New Roman. To restore the original page breaks, you may need to change the margins and page breaks. QuickTime movies will be converted to PICT images. Some macros created on the Macintosh may not run as expected on Windows. In these cases, you'll need to recreate those macros.
Editing Documents Created with the ClarisWorks Assistants
Some documents created using the ClarisWorks Assistants or provided as Stationery files contain objects that are locked or grouped. (Locking and grouping keeps text and graphics objects in position and prevents accidental edits.)
To unlock and ungroup objects so you can move or edit them:
1. If the Arrow tool isn't selected, click it, and then select the object.
2. Choose Unlock or Ungroup from the Arrange menu. If an object is both locked and grouped, first unlock it and then ungroup it.
To edit a text object, click the Text tool and then click the text you want to edit.
Adjusting ClarisWorks Memory
In most cases, the preset memory allocation is adequate for working on ClarisWorks documents. However, if you are working with large Paint documents, very long documents, or if you have several large documents open at the same time, you may see the message "Not enough memory to complete this operation" or "The document has been reduced to fit the available memory." These messages mean that you need to increase the amount of memory set aside for ClarisWorks. Increasing the memory allocation may also reduce the time it takes to print some documents.
To increase the memory allocation for ClarisWorks:
1. If ClarisWorks is open, quit the application.
2. Open the folder that contains the ClarisWorks 4.0 application.
3. Click the ClarisWorks application icon once. (If you click the icon twice, you will start ClarisWorks. If that happens, choose Quit from the File menu and try again.)
4. Choose Get Info from the File menu.
5. Double-click the Preferred Size box.
6. Type a larger number to increase the memory size. If your computer has 4 MB, try 2000. On computers with 5 MB or more, try adding 1000 MB or more to the Preferred size.
7. Close the ClarisWorks Info window.
Running the Introduction to ClarisWorks
If you try to run the Introduction to ClarisWorks on a computer with a monitor set to Thousands or Millions of colors, you may see the message, "Not enough memory to run MacroMind Player." Either free some memory by resetting your Monitors Control Panel to 256 colors, or increase the memory for the Introduction to ClarisWorks file using the instructions in the previous section, "Adjusting ClarisWorks Memory."
Printing on a LaserWriter IIg/IIf
If the horizontal or vertical lines in your documents are not printing correctly, you can adjust your LaserWriter.
1. Open the LaserWriter Utility application on the LaserWriter disk tools disk that came with your printer.
2. Choose Set PhotoGradeª from the Utilities Menu.
3. Move the slider all the way to the left towards the More Levels of Gray option.
4. Quit the LaserWriter Utility application.
Using the Sample AppleScripts
Version 4.0 includes four sample AppleScript scripts that illustrate the use of AppleScript to automate ClarisWorks functions. The four AppleScript scripts are located in the ClarisWorks Scripts folder in the ClarisWorks 4.0 folder:
- Convert Documents (converts multiple non-ClarisWorks files, or files created in earlier versions of ClarisWorks, to ClarisWorks 4.0 format)
- Print Documents (prints multiple ClarisWorks documents)
- Mail Merge (merge FileMaker Pro database data into ClarisWorks documents)
- Remote Slide Show (runs ClarisWorks slide shows from remote Macintosh)
For more information on these scripts, consult the About the AppleScripts document stored in the ClarisWorks Scripts folder. For more information on the Apple Events supported by ClarisWorks 4.0, consult the ClarisWorks Apple Events List document in the ClarisWorks Scripts folder. (The document assumes familiarity with Apple Events and AppleScript.)
Note: AppleScript is provided with System 7 Pro and System 7.5. If you're using System 7.0 and 7.1, AppleScript is available from Apple Computer Inc. The Mail Merge and Remote Slide Show scripts require AppleScript version 1.1.
Using the HTML Translator for Creating Documents for the Internet
ClarisWorks 4.0 includes a translator for converting ClarisWorks word processing documents into HTML files, the format commonly used for documents that can be browsed on the Internet World Wide Web.
